Workspaces are sections of the site where employees, partners and vendors can work together on documents, tasks and events. Users can create workspaces in the system to enable document-centric collaboration for sharing and supporting teams. By default, this includes calendars, tasks, memos, KPI and activity feed features to maximize both individual and group productivity.


You - or you client - lose money and quality by not finding documents in time, losing documents altogether, or getting confused among the different versions.

By not realizing this problem or having it unsolved in the long run, companies will unknowingly burn money by allowing employees to spend hours trying to find relevant documents in different locations. If confused by different versions, they may even try to re-create the latest version and hastily go through all the approvals, or even worse: they send the document they feel is the latest to customers and partners. If this document happens to be a quote, order form or any other type of binding agreement, the employee and thus the company may find itself in deep trouble.

List of Collaboration Features

 

Blog

Create blogs to enhance collaboration. Share ideas, co-create reports, memos. A blog can be part of a workspace to collaborate, or on a website to be a corporate blog.

Calendar

Calendar is a special list in a workspace. It stores events with date, time, location, participants and so on.

Check-in comment

When a content is checked in by a user, he can submit a comment with it. A comment makes it easier for other users to see what happened lately with the content they work on.

Commenting

Any content can be commented in Sense/Net - for example articles or blog entries, ideas, documents or workspaces. A comment is a content, so it is searchable, taggable, rateable and so on.

Forum

Collaborate via online forums, exchange ideas or discuss relevant topics in a Workspace. A forum can be part of a workspace, started individually or in connection with a content (eg. Article, Product)

List

A list is the basic logical unit of managing coherent elements of a workspace. Tasks, calendar, memos, document libraries - these are all lists in Sense/Net. Imagine a list like a smart table: it has rows (the list items), columns (the properties of the list items, their fields) and actions that can be done with list items (check out, check in, download, upload, import from CSV, export to CSV and so on). List items can be orgnized into folders within lists.

Memo

Memo is a special list in a workspace. It stores records about meetings, customers, partners, projects etc. Memos can have retention policies and audit trails, complying for instance ISO regulations.

Mobile access

Workspaces can be accessed from dedicated applications from various mobile devices, such as iPad, iPhone, Windows Mobile and Android devices.

People connections

As users are content in Sense/Net, they can be connected. This connection can be based on their organization (eg. Same business unit), interests (eg. Football fans), past projects, professional skills - or any custom user properties that are set in an implementation.

Profile

Every user can have a profile for collaboration and social purposes. A profile can include studies, skills, knowledges and other talents, personal information, areas of interest and so on. This makes it easier to connect with other people or to find the relevant colleague.

Rating

Any content can be rated in Sense/Net and therefore queries can be created to list top contents (eg. "latest 5 articles with rating 4 or higher"). Rating can be used when collecting ideas - eg. the team can rate which ideas are the best and should be included in the product.

RSS

Any content or any set of contents in Sense/Net can be subscribed to, to receive RSS notifications periodically about the status of those content. This includes various lists in workspaces.

Tagging

Any content can be tagged in Sense/Net to ensure categorization, searchability, structure and ease of access. Tag cloud portlets can be created to easily navigate between content.

Task

Tasks is a special list in a workspace. It manages actions to be done by workspace members - including approval, custom workflow tasks and manually inserted actions.

Wiki

Collect information into Wikis, enhance R&D with internal knowledge sharing. Wikis can reside within Workspaces or individually within a website.

Workflow to list

A workflow is more than a simple approval. It is a well-defined business process, which, for instance is related to a list item - which can be anything: a document, a record, a memo, an event or a client. It can have what-if's, branches, many decisions and many different outcomes depending on the input data and the actions of the participants. Workflows can be assigned to lists and document libraries to manage contents in a company-standardized way.

Workspace Template

You can build your own workspace templates from the GUI to meet your organizational needs. You can add more functions to the basic four (document library, memo, calendar, tasks), you can re-arrange or re-design the layout, ensure that orgnizational regulations are met, and so on.
